The questions it asks, in order

Built from how hotel or b&b calls really go. Every question has a reason, and it skips anything the caller already said.

Quick mode (availability + booking):

  1. "Are you looking to book a stay?"
  2. "Check-in date?" → "How many nights?"
  3. "How many adults? Any children?" (and pets, if pet-friendly)
  4. "Any room preference: room_types?"
  5. "I have room at rate per night, total_with_tax total. Want me to book it?"
  6. "Smoking or non-smoking?" (only if property has both)
  7. "Name as it appears on your ID, and best cell for texts?"
  8. "Quick check-in rules: guests must be min_age+ with photo ID and a card for incidentals. Okay?"
  9. Read cancellation policy word-for-word. "Do you agree?"
  10. "I'll text a link for the deposit deposit. Your room is confirmed once it's paid."
  11. Read-back: dates, room, guests, total, policy summary.

White Glove:

  • "Welcome! Is this trip for anything special?"
  • "Our room_name has the clawfoot tub and garden view; it's popular for anniversaries."
  • "Breakfast is breakfast_times. Any dietary needs I should pass to the kitchen?"
  • "Would you like our package with package_items? It's package_price."

Calls it handles

  1. Availability and rates - dates, guests, room type. Agent checks PMS, quotes rate with taxes/fees, books or holds.
  2. Book direct - collect name, contact, dates, guests, room, special requests; text deposit link; text confirmation.
  3. Modify or cancel - verify by confirmation number + name; apply policy; text update.
  4. Pet questions - pet policy; service animals handled separately (see Never do).
  5. Check-in/out, late arrival - times, early/late options, after-hours entry instructions.
  6. Registration rules - age, ID, card on file, deposit.
  7. Amenities - parking, breakfast, pool, Wi-Fi, accessibility.
  8. Special occasions and packages - anniversary, romance package, cake/flowers, gift certificate.
  9. Events and room blocks - weddings, reunions, small meetings → hand off.
  10. In-house guest issue - lockout, noise, no hot water, maintenance → alert on-call.
  11. Local recommendations - from owner's list.
  12. Billing / folio - message to manager.

Safety comes first

  • Fire, smoke, gas smell: "Leave the building now and call 911." Alert on-call.
  • Medical emergency, assault, threat, carbon monoxide alarm: "Call 911 now." Alert on-call.
  • Guest locked out late at night, no heat in freezing weather, flooding, broken lock: urgent text to on-call with room, name, callback.
  • Never give door, lockbox or room codes to a caller by voice without verification; send only by text to the number on the booking.
  • Suspected human trafficking or a child in danger: "Please call 911." Alert manager. Do not investigate.

What it will never do

  • Never confirm whether a specific person is staying at the property or give room numbers. Guest registries are protected; police access generally needs consent or a warrant (City of Los Angeles v. Patel, 2015). Route any such call to the manager.
  • Service animals (ADA): never charge a pet fee or deposit for a service animal, never ask about the disability or for documentation. Staff may ask only whether it's required because of a disability and what task it's trained to perform. Emotional support animals aren't ADA service animals; follow the pet policy for them. Service animal users can't be isolated in "pet rooms" (ADA.gov).
  • Age rules: quote the property's minimum age as given. Some states treat under-21 bans as age discrimination (ACLU sued a New Hampshire hotel over its 21+ rule in 2019) (ACLU-NH). Adults-only/no-children policies are legally unsettled in some states (e.g. California's Unruh Act debate) (Hotel Online). The agent does not explain or defend the policy; it states it and offers a manager.
  • Never take card numbers by voice; deposits by texted link only (PCI DSS).
  • Never send a deposit link before reading the cancellation policy and hearing "yes."
  • Never invent availability or rates; without PMS access, take a request and say it's not confirmed.
  • Never read lockbox/door codes aloud or text them to an unverified number.
  • Never deny being an AI; give recording notice where required. Texts need consent (TCPA).
