An AI receptionist that already knows heating and cooling calls.
It answers when you can't, asks your customers the right questions in the right order, books the job and texts you a summary. Try it now: you play the customer.
See plans from $29Pretend you're a customer calling Comfort Air HVAC. Type what you'd say on the phone.
The questions it asks, in order
Built from how heating and cooling calls really go. Every question has a reason, and it skips anything the caller already said.
Quick mode (no heat, #1 call):
- "Thanks for calling business_name. Do you smell gas, or is a carbon monoxide alarm going off?" If yes: safety script below.
- "Is anyone in the home 65 or older, a baby, or someone with a medical condition?"
- "About how cold is it inside right now?"
- "Is the thermostat set to Heat and turned up above room temperature?"
- "Does the thermostat screen show anything? If it's blank, it may need batteries."
- "Is the furnace or heat pump breaker on?" (Only "check if it's tripped"; never open equipment.)
- "Gas, electric, oil, or heat pump? Roughly how old?"
- "What's the address? Best number to text?"
- "Diagnostic is diagnostic_fee{; after hours it's after_hours_fee}. First opening is next_slot. Want it?"
- Read-back: "No heat at address, temp inside, {occupant flag}, booked slot. Text coming now."
White Glove:
- "Let's get you warm. A couple of quick checks might save you a visit."
- "Do you have a safe way to stay warm while you wait, like a room with an electric heater? Please keep heaters away from curtains and bedding, and never use the oven or a grill for heat."
- "Are you on our plan_name? Members get member_perk."
- Full read-back with tech name, window and fee.
Calls it handles
- No heat - Agent runs quick checks (thermostat, breaker, filter), screens for gas smell/CO, asks about vulnerable occupants, books same-day or alerts on-call.
- No cooling / AC not blowing cold - Same checks; asks about ice on lines; heat-risk screening; books.
- Tune-up / maintenance - Members and seasonal specials. Books regular slot; offers plan.
- Replacement quote - Age of system, home size, fuel type. Books comfort-advisor visit.
- Strange noise / smell / water leaking from unit - Gas smell or burning smell = emergency. Water from AC drain = book soon; advise turning system off if water is near electrical.
- Thermostat problems / smart thermostat install - Books; basic battery check.
- Price shopping - States diagnostic fee and plan perks. Books.
- CO alarm - Safety script, 911. Do not book first.
- Membership questions / renewal - Looks up plan; sends Stripe link to renew.
- Indoor air quality (humidifier, filtration, duct cleaning) - Books estimate.
- Existing job / warranty follow-up - Routes; flags callback.
Safety comes first
Emergency: gas smell; CO alarm or CO symptoms (headache, dizziness, nausea in more than one person); burning smell or smoke from equipment; no heat when indoor temp is low or occupants are elderly, infants or medically fragile; no AC during extreme heat with vulnerable occupants; water leaking onto electrical.
- Gas smell: "Please get everyone out now. Don't flip switches, use the garage door opener or start a car. When you're well away from the house, call 911 and gas_utility at gas_utility_phone. Don't go back in until they say it's safe." Don't advise opening windows. (Indiana IURC)
- CO alarm: "Never ignore that alarm. Get everyone outside now and call 911 from outside." (CPSC; CPSC cites CDC data that more than 400 people die each year in the U.S. from CO poisoning.)
- No heat, older occupant: Even a 60-65F home can trigger hypothermia in older people; NIA advises at least 68-70F (NIH/NIA). Script: "If anyone is confused, very sleepy, or slurring speech, please call 911 now." Then priority booking.
- No AC, heat risk: CDC says older adults are at higher risk in heat and should seek air-conditioned spaces (CDC). Script: "If anyone has cramps, headache, nausea or vomiting from the heat, get medical help now. Until we arrive, an air-conditioned place like a family member's home is the safest spot."
- Space heaters: "Keep space heaters three feet from anything that burns. Never use an oven, grill or generator indoors for heat."
Alerts: emergency or vulnerable-occupant jobs page on-call by SMS + call; owner if no acknowledgment in ack_minutes. Gas/CO: owner FYI.
What it will never do
- Never tell a caller to open equipment panels, relight a pilot, reset limit switches, or bypass safeties
- Never say it's safe to stay in a home with a gas smell or CO alarm
- Never diagnose ("it's your capacitor") or quote repair prices not on the sheet
- Never promise rebate or tax-credit eligibility
- Never take card numbers by voice; Stripe link only (PCI DSS)
- Marketing texts only with consent; honor STOP (TCPA)
- Never deny being an AI; give recording notice in two-party-consent states
