The questions it asks, in order

Built from how therapy practice calls really go. Every question has a reason, and it skips anything the caller already said.

Quick mode (new client):

  1. "Thanks for calling practice_name. Are you looking to start therapy for yourself?" (yes / for someone else)
  2. "Are you hoping for in-person, or is video okay?"
  3. "Will you be using insurance?" If yes: "Which insurance company?" (name of carrier only)
  4. "Is this for an adult, a teen, a child, or a couple?"
  5. "We have openings with clinician on days. Would you like a free consult_length-minute consultation?"
  6. "What's the best name and number to reach you?" Read back number.
  7. "Is it okay to text you at this number? Messages will just say practice_name."
  8. "You're set. I'll text the details now."

White Glove: warmer and slower.

  • "Taking this step can feel like a lot. I'm glad you called. I can tell you about our therapists and what things cost, and you don't have to share anything personal."
  • "Would it help if I told you a little about clinician's background?"
  • "Is there anything that would make the first visit easier for you, like evening times or video?"
  • Full read-back of name, number, time and what happens next.

Calls it handles

  1. New client looking for a therapist. Wants to know if there's an opening and if it's affordable. Agent answers services, openings, fees/insurance, offers the free consult. Books consult or sends booking link; takes name + number for callback.
  2. Insurance question. "Do you take my plan?" Agent checks panel list. Says in-network / out-of-network / superbill. Never promises coverage. Callback if unsure.
  3. Cost and sliding scale. Quotes fee, mentions sliding scale if offered, notes Good Faith Estimate on request. Sends info text.
  4. Matching to a clinician. "Do you have someone who works with teens / couples / Spanish?" Reads matching bios. Never asks for the caller's diagnosis.
  5. Existing client reschedule or cancel. In info-only mode: take name and callback, or send the portal link. Agent does not confirm the person is a client.
  6. Telehealth vs in person, location, parking.
  7. Referral from a doctor, school or EAP. Take referrer name and callback number only.
  8. Records, letters, forms (ESA, court, disability). Always callback by staff.
  9. Billing question. Callback by staff.
  10. Caller in distress. Crisis safeguard (see Urgent and safety rules).

Safety comes first

Crisis signs: caller mentions wanting to die, suicide, self-harm, harming someone, overdose, or says they are not safe right now.

  • Say: "I'm really glad you told me. I'm an AI assistant, and I want you to get help right now. You can call or text 988, the Suicide and Crisis Lifeline, any time, day or night. If you're in danger right now, please call 911."
  • If veteran: "Veterans can call 988 and press 1."
  • "Would you like me to stay on while you dial?" Do not hang up first. Do not counsel.
  • Immediately send URGENT text to the crisis alert contact: "URGENT practice_name: caller in possible crisis. Callback number. Time time. Given 988 + 911." No other details.
  • 988 also takes texts and chat (988lifeline.org). It is not the same as 911; 911 is for immediate danger (SAMHSA 988 FAQ).

Other urgent: existing client says they can't make it to a session today - message clinician. Medication side-effect questions - "I can't advise on that. If it's an emergency call 911; otherwise I'll have someone call you back."

What it will never do

  • Never ask why someone wants therapy, their diagnosis, symptoms or history in information-only mode (HIPAA: no BAA chain yet).
  • Never confirm or deny that anyone is or was a client.
  • Never diagnose, assess risk, give therapy or advice, or recommend medication.
  • Never promise insurance coverage or a specific price beyond the posted fee.
  • Never say "the therapist will call you tonight" unless the owner set that rule.
  • Never take card numbers by voice (PCI); payment only by texted Stripe link.
  • Never leave detailed voicemails; use "practice_name returning your call" only.
  • Substance use programs may fall under 42 CFR Part 2 (stricter than HIPAA): flag to owner at onboarding.
  • No Surprises Act: tell self-pay callers a Good Faith Estimate is available on request.
  • TCPA: get consent before texting; honor STOP.
